A New CPA Firm Set Up for Success with Canopy

Profile

Campbell & Co provides central Virginia businesses with services that include tax returns, tax planning, bookkeeping, write-up and payroll. When he launched the firm in 2023, Dale Campbell wanted to offer high-quality services with a seamless experience for clients and employees.

However, establishing a firm from scratch came with significant organizational challenges—challenges that Canopy was uniquely poised to solve.

The Problem

The need for a strong start

Starting a new CPA firm is no small feat. At previous firms, Dale was frustrated with too many spreadsheets, too many programs, and too many places for client communication to get lost.

This piecemeal approach resulted in inefficiencies, frustrations among team members, and an inability to scale operations. Dale needed a solution that could centralize processes, improve collaboration, simplify client communication, and establish a foundation for Campbell & Co. to grow.

The Solution

Simple, streamlined operations

Dale researched five practice management software options before the firm even opened its doors. Dale identified Canopy as the best solution to provide time tracking, task management, document storage and more for Campbell & Co.

The ability to delegate tasks within Canopy ensured seamless communication and accountability across the team, and reduced stress for management. Instead of holding frequent meetings to assign and follow-up on tasks, Dale could simply assign a task in Canopy, and the system would automatically notify the right team members.

Clients were able to upload their documents directly into the Canopy portal, simplifying the process for them and for Campbell & Co staff.

“I settled on Canopy as the best choice for us, for several reasons. It seemed to offer a lot of the qualities and features that we needed as a (new) firm. So the time tracking, the document storage, and the task tracking was a big thing for me as well. So it (Canopy) seemed to offer all of that and then some.”

With Canopy in place, Campbell & Co. was able to hit the ground running with a fully integrated, all-in-one solution that eliminated the inefficiencies of juggling multiple tools.

By centralizing their workflows, the firm created a seamless experience for both staff and clients, ensuring that deadlines were met, documents were organized, and communication was effortless. The result? A more efficient, stress-free practice where accountants could focus on delivering high-quality service rather than managing administrative chaos.

The Result

Improved collaboration, time savings, and scaleable processes

Dale’s new firm was able to overcome the usual growing pains with the help of Canopy’s practice management tools.

“Being able to have all the billing in one place, all the task tracking in one place, certainly saves us time. I can delete tasks without having to have a meeting with personnel in the office. I assign somebody to a task and it automatically lets them know, which is very helpful.”

By unifying task tracking, client communication, and document management, the firm improved its operational efficiency, reduced employee stress, and set the stage for scalable growth.

As Campbell & Co has expanded, the team has found new ways to maximize their use of Canopy. After a year of working with the platform, Dale encouraged his employees to revisit Canopy’s education videos, now with their own hands-on experience, to apply the lessons more effectively.

“Since they’ve got some time with Canopy under their belt, the educational videos that you guys post actually made sense to them now,” Dale shared. “When they pick up a little tidbit or a shortcut here or there, it saves them a load of time.”

Looking ahead, Dale can expand his team and client base with confidence, knowing Canopy will support his firm’s evolving needs.
