Smart Intake & The Future of Client Intake

When Jason Staats calls something “the coolest example of product AI I’ve seen yet,” you know it’s good.

In this demo, Jason took Canopy’s newest release, Smart Intake, for a spin. And his 10-minute walkthrough left him wondering why accountants haven’t been using AI like this all along.

Watch the full demo here 👇

The Problem Every Firm Knows Too Well

Every accountant knows the pain. The back-and-forth emails, missing documents, and incomplete forms. Smart Intake tackles that head-on by letting AI do the heavy lifting for your team and your clients.

With Smart Intake, you can stop asking clients for the same information twice, build questionnaires instantly, and even generate document request lists with one click, all inside Canopy’s all-in-one platform.

Here’s how Jason broke down Canopy’s Smart Intake Features.

1. Use AI to Save Your Clients Time

Nobody likes asking clients for the information they’ve already given you, and Smart Intake makes sure you never have to.

Canopy’s AI automatically pre-fills client questionnaires with data already stored in Canopy, like names, contact info, business types, and more. It can even scan existing documents and pull in answers found in previous uploads.

This is a smoother, faster experience that saves your clients time and keeps your firm from looking, as Jason puts it, like “a dummy asking for info you already have.”

2. Use AI to Build Questionnaires in Seconds

Creating detailed client questionnaires no longer takes hours. With Smart Intake, you can build them in seconds.

Just upload an existing form or start from a template, and AI instantly generates a fully structured, interactive questionnaire in seconds – complete with conditional logic. For example, if a client answers “yes” to receiving an IRS IP PIN, Smart Intake can instantly add a document request for it.

Due dates and reminders can be added automatically, so clients never miss a task (and you don’t have to do the nagging). And because everything works seamlessly in Canopy’s mobile app and secure links, clients can complete questionnaires wherever they are.

3. Use AI to Create Document Request Lists

By analyzing prior-year files or client fields, Canopy’s Smart Intake automatically generates a customized document request list for each engagement.

Jason thinks it’s “pretty darn cool,” which might be an understatement. Smart Intake understands context, so it knows exactly what’s missing, what’s been uploaded, and what still needs attention. Clients can even upload documents in bulk, and AI will classify and rename each file.

You can even edit the request list before sending it, and Canopy will learn from those adjustments, getting smarter every time.

4. The No Brainer: Why-Haven’t-We-Been-Using-This-Already Feature

You’ve seen it. The “IMG_2025.pdf” or “Scan001” files that clutter up a client’s folder. Smart Intake fixes that instantly.

With AI-driven file naming, every document is automatically renamed based on your preferred conventions, including the date, document type, issuer, and more.

You will never have to rename a file again. Just think of all the time you’ll save!

Why Firms Love Smart Intake

Smart Intake isn’t another flashy AI add-on; it’s a breakthrough in client onboarding. It’s fast, intuitive, and built directly into the Canopy platform you already know and trust.

Whether you’re onboarding new clients or re-engaging returning ones, Smart Intake helps you gather the right information the first time.
